Smartsheet Pricing – How Much Does Smartsheet Cost?

We take a look at Smartsheet's Individual, Business, Enterprise, and Premier pricing plans to help you choose the right tier.

Smartsheet pricing starts at $7 per month for the Pro tier, and increases from there, depending on the tier you choose for your business. There's a standard Smartsheet Business tier at $25 per month, and an Enterprise level plan (price available upon request).

While Smartsheet doesn't have a free tier, there is a great free trial to Smartsheet to let you test out the software for yourself.

In our Smartsheet pricing guide, we'll break down all the various tiers in this service as best we can. Smartsheet doesn't publish its prices for tiers that best serve mid- to large-size companies. Nevertheless, we can look at the additional features the company offers within these tiers to get a sense of what the company offers. In this guide, you'll find:

Smartsheet Pricing Plans and Cost Per User

Smartsheet offers three different pricing plans, but only two of them have public pricing. These four tiers exist under two different categories: Standard, which is made up of the Individual and Business plans, and Enterprise, which features the Enterprise and Premier plans.

  • Pro costs $7 per month, and is best for small or medium-sized teams (max. 10 users).
  • Business costs $25 per user, per month, and is good for small and mid-sized teams (starting with a minimum of 3 users).
  • Enterprise doesn't have any public pricing, but is best for large companies.

SmartSheet, unfortunately, discontinued its Individual plan which was geared towards singular users in September 2021. However, when it comes to selecting the ideal tier for your business, Smartsheet's pricing and features are pretty straightforward.

The Pro plan is the perfect choice for small to medium-sized teams that won't have more than 25 people working on a project.

The Business plan is ideal for companies with at least three members of staff, and for those who don't need enterprise-grade features such as single sign-on or deeper administrative control, but still want to reduce the percentage of resources wasted on projects (which some studies say can be as high as 11.4% of total resources) through better project management.

The Enterprise Plan would suit any business that needs those enterprise-grade features – such as single sign-on and governance controls – that are handy for managing huge projects that involve a lot of people.

With sheets, you can carry out the basics of project management, such as task creation and setting milestones. Support is available via email.

The Pro plan also supports Gantt charts, forms, mobile access, and automated workflows. It limits collaborators to 10 per item, which is better than just a flat 10 if you need to incorporate multiple people across multiple projects. However, it omits several useful features such as the activity log and proofing.

Overall, Smartsheet is a pretty good deal for small teams but does miss out on features that would come in handy.

Just like Pro, the Business tier supports card view, Gantt charts, Kanban-style “card” view (see below), mobile access, reminders and notifications, and automated workflows.

The business plan then adds features that are necessary for teams that need more than is offered by the pro plan. For instance, you can create forms with fields that follow conditional logic (see below), and Automations are unlimited in the Business plan, so your team can create as many actions as they want.

On the Pro plan, on the other hand, you're restricted to 250 pre-built automation per month, but there are teams that will need many more than that if they want to use it to really improve efficiency.

Another good feature that's in the Business plan but not in the Pro Plan is activity logs. The bigger your team, the more useful this function gets; it makes clear who has edited what on any given sheet. There's also way more storage available in the Business plan (1TB vs Pro's 20 GB) and a “planned vs actual” function (called Baseline) that easily lets you view how your actual work schedule differs from what you planned. It also adds the ability to manage groups and resources, control sheet ownership, as work with custom branding – the latter of which means you can insert your company logo.

This tier is ideal for any business – large or small – that doesn't quite need enterprise-level capabilities in project management software, but will benefit from the features geared towards projects involving 25+ people.

With Smartsheet's Enterprise plan, you also get access to Smartsheet Advance. This means you'll be able to manage processes at scale with the Control Center feature and enable connected systems of record to orchestrate workflow across the enterprise.

You can also control how data you're storing is retained with governance controls. Customer-managed encryption keys also help with data management, allowing you to monitor, grant, and revoke access to data using your own key. There's also Event reporting, which will let you access detailed logs of all the changes made to your project over the previous 6 months.

What Is Smartsheet?

For those of you unfamiliar, Smartsheet is a project management tool that allows businesses to stay on top of their various teams and projects, part of a growing project management software market that will be worth 9.81 billion by 2026.

Through Smartsheet, you can assign tasks to employees, track project progress with various views, manage calendars, and share documents. While project management software is useful in an office context, it is borderline essential for any business adapting to working from home.

Is Smartsheet Free?

Smartsheet does offer a free, 30-day trial, and all you have to do is enter your email address to try out either the Pro or the Standard Smartsheet plan. This means you'll be able to find out if the software caters to your business's needs without spending a cent.

Although “Smartsheet Free” would be a welcome addition to any budget-conscious project manager's arsenal of productivity tools, Smartsheet does not have a dedicated free plan. The Pro plan is the cheapest Smartsheet plan on offer, coming in at $7 per user, per month which is good value considering it an elite-tier project management tool.

If you want a truly free project management tool that will genuinely improve your team's efficiency, then go for ClickUp's free plan, which was the top-rated free plan we tested. However, it's still limited compared to ClickUp's paid plan – as most free plans are – so if you want true value for money, we'd suggest ClickUp's first paid plan, the unlimited plan.

Smartsheet Alternatives

Smartsheet is the project management software to go for if you like the approach of Microsoft Project, but want something that’s built for the web.

At its core, Smartsheet is a web-based take on spreadsheet project management – it won't appeal to everyone, but for those who prefer this kind of interface, Smartsheet is a solid choice. Smartsheet is our easiest-to-use provider, earning a score of 4.3/5 for usability on our last round of testing, higher than any of the other 14 project management software tools we tested.

However our top rated provider was ClickUp. Albeit not as easy to use as Smartsheet, ClickUp still scored highly for usability (4/5). ClickUp had the best range of features for managing tasks out of all the providers we tested (4.9/5) and scored very highly for workflow creation tools (4.3/5) thanks to preset and custom project templates, as well as automations, is available on all plans. ClickUp only scored 3.8/5 for customer support, but this was much better than Smartsheet (2.5/5) and it has 24/7 live support available.

If you're looking for the best project management software though, monday.com is another great pick for its simple, modern interface and great support options, as well as wealth of customizable features.

monday scored a 4.7/5 on our last round of testing, whereas Smartsheet Scored 4.6/5. Although Smartsheet was slightly easier to user (4.3/5) than monday (4.1/5), monday.com scores slightly higher for task management features (4.5/5 vs Smartsheet's 4.4/5), and much better for collaboration (3.8/5 vs Smartsheet's 3/5) thanks to a handy online whiteboard tool

Verdict: Should You Pay For Smartsheet?

Smartsheet is certainly worth considering if you're in the market for project management software. It was the third-best project management software provider we tested, and thanks to an easy-to-understand spreadsheet-style view, it was also the easiest-to-use provider our research team took for a test run. So, if simplicity and usability are your priorities, you won't be disappointed with Smartsheet.

That being said, Smartsheet's second plan is pretty pricey, and its customer support leaves a lot to be desired. But if you're looking for a straightforward and genuinely helpful program for tracking and managing tasks, viewing your project progress, and visualizing your project data, it's certainly going to fulfill all your requirements.
